Your HVAC operation should run even when you're not watching it.
Linchpin Systems is a veteran-owned company that builds custom automation systems designed exclusively for residential HVAC businesses. We ensure that no lead goes cold, no review goes uncollected, no unsold estimate goes unfollowed, no maintenance contract lapses while you're running your operation, and much more.
The problem isn't your service. It’s every opportunity that slips through the cracks while you’re delivering it.
The 2 PM Attic Crisis
You're under a unit in a customer's attic at 2 PM on a Tuesday in July. Your phone rings. You can't answer. The homeowner has a broken air conditioner and it's 95 degrees outside. They hang up without leaving a message and immediately call the next contractor on their Google search results.
That scenario plays out dozens of times a month for the typical HVAC business. Meanwhile, a customer from last week hasn't left a Google review. An estimate you sent went unanswered. A maintenance contract is due for renewal and no one has followed up. None of this is happening because you don't care - it's happening because you're running a business and there aren't enough hours in the day.
The Linchpin Solution
Linchpin catches the lead before they go cold. When a call is missed, the system texts the caller back in under a minute and asks what they need - AC, heating, or an emergency. That question does real work: it pulls the caller into a conversation and keeps them engaged with you instead of dialing the next company on Google while they wait. Their reply routes straight to you, so you call back already knowing the job instead of dialing blind. You get a priority callback alert, and if you run cloud-based scheduling software, every lead is logged straight into your CRM or FSM. Additionally, Linchpin offers other systems that keep the follow-up moving by chasing unsold estimates, collecting Google reviews, and handling the small touches that usually get buried when you’re running calls, crews, and customers all day.
13 automation systems built exclusively for residential HVAC businesses. One connected operation.
Linchpin Systems builds custom automations that run in the background of your HVAC business, handling the follow-up, logging, reminders, and outreach your team doesn't have time to chase.
Built from scratch for your operation. Connected to your FSM platform (Jobber, HouseCall Pro, ServiceTitan, Google Sheets, etc..), your Email Platform (Outlook, Gmail, etc..), and more. Nothing to set up or learn how to use. Nothing on your end to maintain or deal with. Built on top of what you already do, running for you and maintained for you.

Lead Response Automation

Lead Response Automation
When a call to your business goes unanswered, the system automatically texts the caller back in under a minute and asks a simple question about what they need. That question is the difference-maker: it engages the caller and keeps them warm with you, so they are far less likely to call the next HVAC company on Google just because you could not pick up in the moment. When they reply, that answer routes straight to you, so your callback is warmer and better-informed instead of blind. You get a weekly recap of exactly what the system recovered, and if you use cloud-based scheduling software, every lead is logged straight into your CRM or FSM.
Unsold Estimate Follow-Up
expand_more
When an estimate hasn’t converted into a booked job within 5–7 days, the system automatically triggers an SMS and email follow-up sequence. It helps recover revenue from diagnostic time you already invested instead of letting good estimates die in the inbox.
Maintenance Contract Renewal Sequences
expand_more
The system checks your FSM for maintenance contracts expiring in 30, 60, and 90 days, then sends a systematic SMS and email renewal sequence at each interval. What used to live in a spreadsheet, or in someone’s memory, becomes a reliable recurring revenue protection system.
From first conversation to fully automated operation.
Discovery Call
This starts with a quick call, like the one that brought you here. We learn about your operation and how you currently handle the problems we solve. We recommend which systems will save you the most time or recover the most revenue, and you can start with one or several. If we’re in agreement, we move to the next step.
Agreement
A straightforward service agreement is sent over, usually the same day. Once you sign it and we counter-sign it, we send over a 50% setup deposit and an intake form. Once you pay it and answer the questions in the form, we begin the build. No ambiguity on scope, timeline, or cost.
Custom Build
Every system is built from scratch for your specific operation and connected to the tools you already use. Everything is tested end-to-end internally before you ever see it.
Go-Live
I walk you through the system that was built and confirm everything fires correctly. Documentation is handed over. We go live. The remaining 50% of the setup fee is due at go-live. You did not have to set up anything or learn anything to get here, and from this point forward the system runs automatically - no staff involvement, nothing falling through the cracks.
Ongoing Support
Monthly monitoring, adjustments, and support are included in the retainer. If something stops working, we fix it. If your business evolves, the system evolves with it (or because of it).
Watch the Lead Response Automation fire in real time.
This is a demonstration recorded live by Kyler, the Founder - not a mockup. A real missed call triggers the full system: automated text fires to the lead, the CRM entry appears in Jobber, and the owner receives a notification - all within a few seconds. Although this is just one of the systems we offer, this one was chosen as the primary demonstration.
⚠️ Demo uses Jobber only as an example. Leads will be automatically logged to ANY FSM platform that you use - Housecall Pro, ServiceTitan, Google Sheets, or whatever you already run. Nothing required on your end.
✅ Still use pen and paper or offline programs to run your business? Lead Response can still be offered and will be just as valuable, if not more, to you.

Built by someone who respects what you’ve built.
My name is Kyler Quirk. I’m the founder of Linchpin Systems. I’m a veteran with a military intelligence background and a proud American. I was born and raised in a relatively rural part of Louisiana near Lafayette. In my years on active duty, I spent some time overseas in Germany, as well as back in the states around the Washington DC area.
Being a natural systems thinker, I created Linchpin because I observed operational market-wide efficiency problems in the HVAC industry that I could address directly and provide tremendous value to by creating this company. What I noticed were things like great operators running excellent businesses and losing revenue not because of bad service, but because no one was there to follow up. The missed call at 2pm. The estimate that never got a response. The maintenance customer who renewed with someone else because nobody reached out first.
And that makes complete sense. When you’re running calls, crews, and customers all at once, there are only so many hours in a day, and the follow-up is simply the first thing that falls off the plate. But here is the key realization:
That's not a people problem. It's a systems problem. And it has a fix.
I built that fix specifically for HVAC because I respect what owner-operators have built: the trucks, the reputation, the years of hard work. My systems close those gaps for you automatically and give you back the revenue that was quietly walking out the door. You deserve a business that holds together on its own, even when you can’t be watching every part of it. A linchpin is the small part that holds everything else in place, and that is exactly the role these systems are built to play. I build them, I keep them running and maintain them, and I stand behind every one of them personally.

Frequently Asked Questions
How hard is it to set up? expand_more
You're not setting anything up. We are. This isn't software you download or figure out, there's no learning curve because there's nothing for you to learn. Kyler builds it, connects it to what you already use, and tests it end to end before it ever goes live. Your only involvement is granting access to your tools when we ask and answering a few quick questions about how your shop runs, so it's built correctly. You don't touch it, don't maintain it, and don't have to keep checking on anything.
Is there a contract? expand_more
There is no long-term lock-in. You can cancel with a 30 day notice. What we use to document our relationship is a straightforward Client Service Agreement that covers scope, payment terms, confidentiality, cancellation, project timeline, and IP/data ownership. This is for professionalism - it guarantees that we will not only build your system, but maintain it overtime, as well as provide long-term support. It also legally protects both parties and defines scope. We encourage you to read it in full. It’s written to be understandable, not a wall of legalese.
How long does it take to setup? expand_more
Builds can take up to four weeks from signed agreement and 50% deposit to complete, but most are completed much quicker. The time that it takes for us to build your system depends on the number of systems being built, the tools and software involved, and how quickly tool access is provided. We give you clear instructions for granting access, then build, test, and launch the automations.
What exactly does the Lead Response Automation do? expand_more
When a call to your business goes unanswered, the system automatically texts the caller back in under a minute and asks what they need - AC, heating, or an emergency. That question does more than gather info: it engages the caller and keeps them warm with you, so they are far less likely to move on to the next company just because you could not answer right away. Their reply routes straight to you, so you call back already knowing the job. You get a priority callback alert and a weekly recap showing exactly what was recovered, and if you run cloud-based scheduling software, every lead is logged straight into your CRM or FSM. It handles the highest-dollar problem in HVAC: leads going cold while you’re on a job since you can’t respond to them immediately.
What are the other automation systems you offer? expand_more
Review Collection Automation - Triggers 2-4 hours after a job is marked complete in your FSM tool. Sends an SMS to the customer with a direct Google review link, followed by an email follow-up at 48 hours if no review has been submitted. Compounds your Google Business Profile ranking over time without anyone on your team remembering to ask.
Appointment Reminder Sequences - A booking confirmation fires immediately when an appointment is scheduled, followed by a 24-hour reminder and a 2-hour reminder. Reduces no-shows directly and measurably.
Unsold Estimate Follow-Up - When an estimate isn't converted to a job within 5-7 days, the system triggers an SMS and email follow-up sequence automatically. Recovers revenue from work you already invested diagnostic time in.
Maintenance Contract Renewal Sequences - Queries your FSM tool for contracts expiring in 30, 60, and 90 days and fires a systematic SMS and email sequence at each interval. Converts a spreadsheet-managed or completely manual process into a reliable recurring revenue protection system.
Dormant Customer Reactivation - Queries your FSM tool for customers with no service in 12-18 months and fires a seasonal SMS and email campaign. Turns a dormant database into booked jobs without any manual effort.
Seasonal Campaign Sequences - Customer list filtered by last service type, equipment age, or service area feeds pre-season tune-up campaigns, post-storm inspection campaigns, and equipment replacement conversations. Generates bookings that would never happen without the outreach.
New Customer Onboarding Sequence - First job booked triggers a welcome SMS with technician name and arrival window, a welcome email with pre-appointment instructions, and then feeds directly into the review collection sequence after the job completes.
Technician Dispatch and Job Status Communication - Technician marked en route triggers an automated SMS to the customer with ETA. Eliminates the "where is my technician" calls that drain dispatcher time.
Payment Reminder and Overdue Invoice Follow-Up - Invoice unpaid after a defined number of days triggers an SMS and email sequence. Reduces outstanding receivables without the owner making awkward manual collection calls.
Operational Workflow Automation - Internal routing logic: job assignments, internal alerts, invoicing triggers, QuickBooks sync. The connective tissue that makes the whole operation run without manual handoffs.
Reputation Monitoring and Response Alerts - New review detected triggers an owner alert and a drafted response suggestion. Keeps the owner engaged with his online reputation without monitoring it manually.
Employee and Technician Onboarding Automation - New hire triggers a structured checklist, document collection sequence, and training milestone reminders. Reduces the administrative burden of hiring in a labor-constrained industry.
What happens if something breaks? expand_more
Monitoring, maintenance, and support are included in the monthly retainer. If something stops working, we fix it. You are not buying a system and getting left alone with it. Linchpin maintains the automations so they keep doing the job they were built to do.
What tools do you connect to? expand_more
We connect to thousands of tools, including the FSM platforms residential HVAC businesses already use, like Jobber, HouseCall Pro, ServiceTitan, Google Sheets, and more. We can also connect to Google Business Profile for review collection, invoicing and payment tools like Stripe or QuickBooks, and email platforms like Gmail, Google Workspace, Outlook, and Yahoo.
The goal is simple: make the tools you already use talk to each other when the right trigger happens.
Straightforward pricing. No surprises.
A single recovered job with our lead response system typically covers the monthly retainer entirely. The average HVAC business doing $1M in revenue already spends $2,500–$8,000 per month on marketing to generate inbound calls. Our lead response system makes sure that investment doesn’t go to waste the moment the phone rings while earning back what you would have lost and significantly more.
What you are actually paying for
A full-time office worker tasked with doing what these systems do would cost you bare minimum $40,000 a year, plus payroll, plus the risk they quit - and in almost all cases they would not complete the tasks nearly as completely, efficiently, or meticulously as the systems we build. Our systems complete the tasks for a fraction of that cost, never get lazy, never forget a follow-up, and work 24/7, including the nights and weekends when half of HVAC emergencies come in. And our systems are not AI - they are pre-programmed actions that your shop will take when an occurrence triggers them (for example, when you miss a call or mark a job as complete in your FSM), without making decisions for you or misrepresenting you.
They’re also built for your shop specifically: the workflows, the connection to your scheduling software, the phone-carrier and compliance side, end-to-end testing, and the monthly monitoring that keeps it firing. Because Linchpin builds revenue-recovery systems for HVAC and nothing else, you get a finished, maintained system that a generalist could not match - and you touch none of it. Nothing to set up, nothing to learn how to use. The setup fee covers a build that keeps earning like a critical asset and building your business with a snowball-like effect long after the relatively small upfront investment is made. If you don’t have these systems already implemented into your operation, they’re usually no brainers for our clients. Note that this snowball-like effect applies especially when multiple systems are implemented simultaneously, but feel free to start with one.

The more systems you purchase, the less each additional one costs.
Most clients start with one system, see it recover real revenue or save time within the first weeks, and come back to add more. We reward that momentum. Each additional automation you add as an existing client comes with a reduced setup fee and a smaller incremental increase to your retainer - not the full single-system rate tacked on.
The result: a fully automated HVAC operation that costs a fraction of what it would if each system were priced independently - and pays for itself many times over through leads recovered, reviews collected, estimates closed, and contracts renewed (to name a few).
The pricing above is for a single automation system - most clients start with the Lead Response Automation as the highest-ROI entry point. Once it’s live and you’re recovering revenue, adding more systems costs you less per system, not more. If it is more fitting to your operation, you can start with one of our other systems.
